Counted on the current responses of exported bids, 31 August 2026These are our own measurements. The notice count reads from the running system and refreshes every 15 minutes. The other two are static, and each carries the date it was measured. BidFlow is pre-launch and has no customer results yet, so we publish what we can evidence rather than a testimonial we cannot. Method and full results are on the evaluation page. The first pilot results will be published here, named, with the same sourcing.
The actual product, on sample data.
Explore the real interface with Northfield, our fictional facilities management company. Follow a tender from its fit score to the source evidence and final review, or open the read-only sample workspace to try it yourself. Your own workspace uses your company’s documents and live Find a Tender notices.
Pipeline value, high-fit opportunities and every submission deadline in one view.

Government contracts are valuable. Winning them is painfully manual.
A serious response swallows days of effort, and most of that time is not spent thinking. It goes on four jobs that repeat with every tender:
Finding opportunities
Someone checks portals between other jobs, so good notices surface late, or not at all.
Deciding whether to bid
The only way to qualify a tender is to read all of it. Forty pages later, the answer is often no.
Hunting for evidence
Case studies, certificates and policies live in folders, old bids and people's heads. Every bid restarts the hunt.
Writing the response
The same company story gets rewritten under deadline pressure, and the midnight version is never the best.
From ten documents to a submission-ready bid.

BidFlow learns your business
Upload case studies, certificates, policies, previous bids and accounts. BidFlow reads them page by page and builds a Company Brain: capabilities, certifications and claims, each tied to the exact page it came from.
Everything the AI extracts starts as a candidate. By default, only evidence a person at your company has reviewed can be used in a bid.
Evidence lifecycle

It watches public procurement for you
BidFlow ingests the official Find a Tender service, the central platform for UK notices under the Procurement Act, including below-threshold work. The service is polled every 15 minutes for new and changed notices, and amendments are tracked release by release, so you see when a deadline moves.

See which tenders actually fit
Deterministic checks run first across six components: category, geography, contract size, eligibility, certifications and past performance. Semantic matching then compares the notice to your capabilities, services and case studies, and AI reasoning runs only on the shortlist, adjusting those scores within a fixed cap, each change justified. Reasons for, reasons against, and the risks, in writing.
When the honest answer is no bid, it says no bid.
How the score is built
88 / 100 · Strong bid- Stage 1 · Deterministic76 / 85
Six components: category, geography, contract size, eligibility, certifications, past performance
- Stage 2 · Semantic12 / 15
Closest match between the notice and your capabilities, services, case studies and profile summary
Stage 3 AI reasoning adjusts these components instead of adding one of its own: each change is capped at 20% of that component’s maximum and recorded with its justification.

Your evidence becomes the first draft
Requirements are extracted from the tender documents, a strategy is set, and each section is drafted from your reviewed evidence with citations in the text.
Then every factual claim is checked, one by one, against the evidence it cites. A claim without support blocks the export until a person rewrites, evidences or removes it.
Response draft · Quality management438 / 500 words Our quality system is certified to ISO 9001:2015 E1 and has supported complex, multi-site mobilisations, including 43 sites brought into service within six weeks E2 for a public-sector client. Daily audits are logged against each site's cleaning specification and reviewed monthly with your contract manager.

Checked before you sign off
Every mandatory requirement gets a live pass, fail or missing status you can override. A red-team pass scores each answer against the tender’s own evaluation criteria and sends weak sections back for revision.
The workflow pauses twice for a human: go or no-go before any drafting, and final sign-off before export. BidFlow never submits anything.

Become a founding partner.
We are onboarding a small number of UK companies that already bid for public-sector work. BidFlow learns your business, finds live opportunities that fit, and helps prepare real tender responses while we measure the quality together. In return, you shape what gets built next.
- Free to start: create a workspace, add your documents and see scored opportunities at no cost
- Onboarding done with you: your documents are in and matching within a day
- A fixed-scope pilot if you want one, agreed up front, with no annual commitment and no auto-renewal
- A direct line to the people building the product, not a ticket queue
- Leave whenever you like and take everything: full export, hard delete
Your workspace is created immediately and costs nothing. If a founding pilot makes sense for both of us, we scope and price it together afterwards, per company, because a fair number depends on your bid volume.
BidFlow learns what your company can actually prove.
The Company Brain turns your documents into structured, reusable bid evidence. It is designed to write from reviewed evidence, not to invent experience.

Approved by your teamCandidates never overwrite approved facts. Your team approves or rejects each suggestion, and only reviewed records feed matching and writing.
Built for bids where accuracy matters.
AI that invents experience loses contracts and reputations. BidFlow is engineered against it: not with a polite prompt, with hard gates in the pipeline.
Evidence-grounded
The writer sees only evidence your team approved, and every claim is checked against the evidence it cites. Unsupported claims block the export until a person resolves them.
Human-controlled
Go or no-go and final sign-off are gates: who decided, when, and on which version, recorded permanently. The AI cannot approve its own work.
Compliance-checked
Requirements become a live matrix with a pass, fail or missing status each, so nothing is discovered the night before the deadline.
Private by design
Isolation is enforced in the database itself, not just the application. Export or permanently delete your workspace at any time.
Auditable
Every AI run is logged with its model, prompt version, tokens and cost. Any drafted claim traces back to the run that wrote it and the evidence it cited.
UK public procurement, in one scored pipeline.
Find a Tender carries public-sector notices from councils, NHS bodies, schools, universities, housing associations and central government, including below-threshold work. BidFlow turns that stream into a pipeline scored for your business.

- Facilities and cleaning
- Security
- Recruitment
- IT and professional services
Nothing about the matching is sector-specific: it scores whatever your approved evidence supports.
Fair questions.
Can it make up company information?
It is built not to. The writer only sees evidence your team approved, and every claim is checked back against its source afterwards. An unsupported claim blocks the export until a person fixes it, by a rule in the software rather than a prompt.
Is our information shared with other customers?
No. Isolation is enforced by the database itself, not only the application. You can export your whole workspace yourself whenever you want; ask us and we will permanently delete it.
Which AI provider processes our documents?
Through OpenAI's API, under terms that do not permit content sent to it to train their models. Your documents stay in your own workspace. The full subprocessor list is on our security page.
What does it cost?
Creating a workspace and seeing scored opportunities is free, no card required. A pilot beyond that is a fixed scope agreed up front: no annual commitment, no auto-renewal, and nothing charged before you have seen real output on your own tenders. We price per company, and you see the number in writing first.
Where do opportunities come from?
The UK's official Find a Tender service, checked every 15 minutes, including below-threshold notices. Amendments are tracked release by release, and further sources are on the roadmap.
Does BidFlow submit tenders automatically?
No. After your final approval it exports a clean, editable DOCX. Submission through the buyer's portal stays a deliberate human act, and we think it should.
Will BidFlow replace our bid manager?
No. It removes the searching, re-reading and retyping so your people spend their hours on strategy and final quality. Bid or no-bid and sign-off stay with a person.
What can we upload?
PDF, Word, Excel, PowerPoint, CSV and plain text: past bids, policies, case studies, certificates and CVs. One honest limit, scanned documents without a text layer cannot be read yet.
Do you cover procurement outside the UK?
Not yet. BidFlow covers UK public procurement today; US federal procurement is planned for a later phase.
Your next public-sector opportunity may already be open.
